1. Who controls the data and what this policy covers

Honghao Automation Equipment Co., Ltd. is the business responsible for the personal information described in this policy. We are based at Building 4, Changui Fang, Chancheng District, Foshan, Guangdong, China.

This policy covers honghaoautomation.com, quotation and contact forms, Meta lead-generation forms associated with our Facebook or Instagram advertising, WhatsApp conversations and related business correspondence. It does not replace the privacy policies of Meta, WhatsApp or other third-party platforms.

2. Information we may collect

Please do not submit passwords, government identification numbers, payment-card data, health information or other sensitive personal information through an enquiry form or WhatsApp message.

• Business identity and contact data: name, job title, company, business email, telephone or WhatsApp number, country and preferred contact channel.
• Enquiry and project data: product interest, Siemens article or model number, quantity, voltage, application, destination, required delivery date, messages and files you choose to provide, such as a BOM, drawing, photograph or specification.
• Meta lead-form data: the fields you voluntarily submit through a Facebook or Instagram instant form, together with campaign, advertisement or form information made available to us by Meta.
• Communications: messages, follow-up records, quotation discussions and customer-service correspondence.
• Technical data: IP address, browser and device information, requested pages, referring URL, timestamps and security or server logs generated when the website is used.

3. Where the information comes from

We receive information directly from you, from Meta when you choose to submit one of our lead forms, from your company or an authorized colleague, and automatically from the technical operation and security of our website.

4. Why we use information and our processing basis

Depending on the applicable law and context, we rely on your consent, steps requested before a contract, performance of a contract, compliance with legal obligations, or our legitimate interests in operating a secure B2B sales and engineering business. Where we rely on legitimate interests, we consider the impact on your rights.

• To respond to enquiries, verify product requirements, prepare quotations and take steps requested before entering a contract.
• To communicate about availability, technical clarification, delivery, engineering scope, order progress and after-sales matters.
• To manage supplier, logistics and project coordination where this is necessary to answer or fulfill your request.
• To protect our website and communications, prevent misuse, maintain records and comply with legal, tax, accounting, export-control or dispute-resolution obligations.
• To send marketing or product updates only where permitted by law and, where required, after obtaining consent. You can opt out at any time.

5. Specific notice for Meta lead forms

If you submit a lead form on Facebook or Instagram, Meta sends the fields you chose to provide to Honghao. We use that information to identify the product or project you asked about, assess whether we can support it, prepare or discuss a quotation and contact you through the channel you supplied.

We do not sell Meta lead data. We do not use it for a materially different purpose unless we first provide any notice and obtain any permission required by law. Meta separately processes information under its own terms and privacy policy.

6. When information may be shared

We do not sell or rent your personal information. We require recipients acting for us to use information only for the relevant service or business purpose.

• Authorized Honghao personnel and representatives who need the information to handle the enquiry or project.
• Service providers supporting hosting, email, document storage, customer relationship management, communications, cybersecurity or technical operations, subject to appropriate confidentiality and data-use restrictions.
• Manufacturers, suppliers, engineering partners, testing providers, freight forwarders or logistics providers when the minimum necessary information is required to price, verify or fulfill your request.
• Professional advisers, regulators, courts, law-enforcement bodies or other parties when disclosure is required by law or reasonably necessary to protect legal rights and security.

7. International processing and transfers

Honghao is based in China and serves international customers. Information may therefore be processed in China and in other countries where our hosting, communications, platform, supplier or logistics providers operate. Where applicable law requires safeguards for an international transfer, we take reasonable steps to use an approved transfer mechanism or other appropriate protection.

8. How long we keep information

These are general periods. We may keep information for a shorter period when it is no longer needed, or longer when required for law, security, fraud prevention or the establishment, exercise or defense of legal claims.

• Enquiries and leads that do not become an active customer or project are normally kept for up to 24 months after the last meaningful contact.
• Quotation, order, project, accounting, export and warranty records are normally kept for the business relationship and up to 7 years afterwards, or for another period required by applicable law or a valid claim.
• Marketing contact data is kept until you opt out, withdraw consent where consent is the basis, or the data is no longer reasonably needed.
• Website and security logs are normally kept for no longer than 12 months unless a security incident, legal obligation or investigation requires longer retention.
